Issuance of Demand Drafts

In the case of demand drafts, the following precautions will be taken so as to crystallize the transactions:

  • It will be ensured that that the purchaser of the demand draft must be a major and may at least be able to sign his name in case he is illiterate.

  • No demand draft will be issued to the minors.

  • No thumb impression will be accepted on the DD form.

  • If the person applying for the DD is illiterate, he will be asked to fill in the DD form through some one else.

  • Without filling in the specific KKI DD application form, no DD will be issued.

  • It will be ensured that the DD form is properly filled and signed by the person applying for the DD; all the required information is provided and written in the form.

  • Before issuing the demand draft, it will be made sure that the customer has sufficient balance in the account of the bank against which he/she is drawing the cheque .

  • DD will be issued to the client after the cheque is cleared from the bank.

  • Complete scrutiny of the form will be done before the final making of the DD. The scrutiny will be done with respect to the full name of the payee, amount in words and figures, signatures of the purchaser or his/her representative.

  • The payment of the DD from the customer will be received against a computer generated Cash Memo. This Cash Memo will be given to the purchaser of the DD to deposit his money at the counter.

  • A computerized register will be maintained to record the particulars of DDs issued on different branches, banks and other exchange companies so that a record of the particulars of all DDs issued can be kept along with the company.

  • A separate record is maintained for each drawee and accordingly an index is prepared.

  • The issued draft will contain a serial number constituting its printed serial number, the year of company’s operations and the number of the DD issued on that branch, exchange company or bank.

  • Complete information of the loss or issuance of duplicate draft will be maintained.

  • Cutting or over writing on the DD is not allowed. If it is necessary under certain circumstances, then the DD will be signed and authenticated by two authorized officers of KKI.

  • Before issuing the draft, two authorized officers of KKI will sign it. The first officer will check the draft against the requirements of the customers and the information provided by the same whereas the second officer will further check the DD to affirm the signatures of the former one.

  • All Demand Draft Advice pads will be kept under proper custody of an authorized officer.
